The Cronofy integration for Paycor connects your Paycor Recruiting account to Cronofy so candidates can self-schedule their own interviews. It cuts out the back-and-forth of comparing calendars and chasing availability by email, letting you find interviewer availability, send calendar invites and schedule interviews without ever leaving Paycor — whether that's a single hiring manager interview, a panel, or an executive interview.

What does the Paycor integration actually do?

The Cronofy integration for Paycor connects your Paycor Recruiting account to Cronofy so candidates can self-schedule their own interviews. Once it's switched on, recruiters keep working in Paycor exactly as before — scheduling and candidate communication happen automatically behind the scenes.

Once connected, here's what changes for your team:

  • When a recruiter schedules an interview in Paycor, Cronofy sends the candidate a link so they can pick their own time.
  • The candidate books a slot themselves, with no back-and-forth emails trying to find a time that works.
  • Scorecards or feedback requests, whichever your team uses, can be sent to interviewers automatically afterwards.
How do I connect Cronofy to Paycor?
This part is for your IT team or Paycor Org Admin. If you're a recruiter or coordinator, someone else has likely already done this — skip ahead to “How do I schedule an interview in Paycor?”

This is a one-time setup step, usually done by your IT team or Paycor Org Admin.

  1. Find the right admin. Paycor has two levels of admin, and you'll likely need both: an Org Admin, who controls which products and integrations are switched on across your account, and a Recruiting (ATS) Admin, who manages settings and users within the recruiting module.
  2. Get your Recruiting Account ID. Ask your Recruiting Admin for it, found in Paycor under Admin → Company Settings → Company Information → Recruiting Account ID. Share this with your Cronofy contact so they can get Cronofy switched on for your account.
  3. Set up calendar access. This decides how much access Cronofy gets to company calendars, and it's the part your IT team will care about most. You have two options:

Full read/write access — Cronofy can read and write directly to calendars, so interviews appear straight in the interviewer's calendar. This gives the smoothest experience but needs more IT sign-off.

Free/Busy access — Cronofy can only see when someone is free or busy, not event details. The interviewer instead gets an email with an .ics file to add manually. It's easier to get approved, but a slightly clunkier experience.

If you're on Microsoft/Azure, a Global Admin will need to approve installing the Cronofy application in Azure, setting up a service account for calendar access, and (if you use video calls) authorizing conferencing access.

If you're on Google Workspace, you'll need an admin who can manage user and resource (room) calendars across the domain, and install the Cronofy app into your Google Workspace.

Tip: it's worth sending your IT team a short, clear email upfront explaining why Cronofy needs calendar access and exactly what needs approving. Ask your Cronofy contact if you'd like a template for this.

How do I schedule an interview in Paycor?

Once the integration is live, this is what a recruiter will actually see and do in Paycor.

  1. Start the scheduling request. From a candidate's profile in Paycor, click Schedule Interview. If Scorecards are enabled, choose a Candidate Invite Template and optionally set up automatic scorecard requests. If Feedback requests are enabled instead, you'll see a simpler screen with just the invite template and an optional toggle to request feedback. Either way, choose your template and click Schedule.
  2. Confirm who's involved. Cronofy opens with the candidate already listed as the invitee. Start from a recent request to reuse a similar setup, or create one from scratch. Leave Guided mode switched on to be walked through Who, What and When in order.
  3. Set the interviewer. Confirm the Event Host, which is usually filled in automatically. Use the swap icon next to their name if you need to schedule on someone else's behalf, then add any other attendees and click Next.
  4. Pick available times. Cronofy shows the interviewer's real calendar availability, so candidates only ever see slots that actually work. Book now to pick a time yourself and confirm it directly, or create a request link so the candidate can pick their own time. You can also choose whether to allow rescheduling.
  5. Send the invite. The candidate's invite email is pre-filled using your chosen template, with the subject line, scheduling link and job title populated automatically. Review it, then click Send Email Now.

Once the candidate books, the interview is written back into Paycor automatically, and the candidate's status updates to “Interview Scheduled.”

What should I check if something isn't working?
  • Has your Recruiting Account ID actually been enabled on Paycor's side? If Cronofy isn't showing up in Paycor, this is the most common cause.
  • Did IT approve both the Cronofy application install and the calendar service account? Missing either one will block calendar access.
  • Are your invite tokens formatted exactly right, with curly braces and spaces intact?
  • If interviews aren't landing directly in calendars, check whether you set up Free/Busy access instead of full read/write — that's expected behavior for that option, not a bug.
  • Candidate says they can't see any interview times — check the interviewer's calendar actually has free slots within their working hours, and that the right calendar is connected.
  • Candidate's status hasn't updated to “Interview Scheduled” — this only updates once the candidate has actually completed booking a time through the link, not when the invite is sent.
  • Wrong interviewer showing on the invite — use the swap icon next to the Event Host's name in Step 3 before sending, rather than editing it after the invite has gone out.

Cronofy uses a template called Candidate Interview Invite (Self-Scheduling) to email candidates their scheduling link.

You can customize the wording, and use these auto-fill tokens as placeholders, Cronofy automatically fills each one in with the right information for that candidate. Copy and paste them exactly as shown, keeping the curly braces and spaces intact, or the token won't work. Tokens aren't case-sensitive, but spacing matters.

  • {JOB TITLE} — the job title
  • {JOB ID} — the job ID
  • {CANDIDATE FULL NAME} — the candidate's first and last name
  • {CANDIDATE FIRST NAME} — the candidate's first name only, never their preferred name
  • {CANDIDATE PREFERRED NAME} — the candidate's preferred name, falling back to their first name if it isn't set
  • {CANDIDATE LAST NAME} — the candidate's last name
  • {CANDIDATE MOBILE #} — the candidate's cell phone number
  • {ALTERNATIVE PHONE} — the candidate's alternative or home phone number
  • {CANDIDATE SOURCE} — where the candidate came from (referrer or source)
  • {SENDER'S EMAIL ADDRESS} — the email address of whoever sent the message
  • {TO FIRST NAME} — the first name of the person receiving the message
