Templates

Templates can be created in Cronofy for fast and easy scheduling and are a great way to standardize your invites. They allow you to pre-set all the details that you would normally add when you create a request from scratch.

When you select a template as the basis for your new request, it will pre-fill everything you set in the central template. You’ll still be able to make any edits you like.

Create a Template

To create a template you need to click you OU one the left hand panel and select Scheduling and then the Templates tab.

  • (Name of your OU) Settings -> Scheduling -> Templates.

From here you can see and edit your already created templates or click on the Create template to get started and name your new template.

Fill out the information

Now that you have create the template you will be taken to the page to fill out any information. You can start from the name.

Template types: there are 3 types of templates you can select from,depending on how you intend to use them. The main thing to remember here is that only Scheduling Request type can have no host. We will look further into why below.

A host can be set pre-selected here as an individual user or a selection rule with multiple people. You need to set them up beforehand or you can click create selection rule right there, more info here.

The rest of the template is set up pretty much the same way a scheduling request is, and includes the additional information prompts at the end for Public link conversion.

Template types explained:

Public links: this will always require an individual host and/or selection rule(s) and can be used to send to a bulk of people. E.g. for sourcing.

Scheduler requests: this is the standard template you can use to get details for specific meeting types pre-filled in the request form where you create a link.

Scheduling triggers: this will require an individual host and/or selection rule(s) and can be used in stage transition automation with your ATS integration (SmartRecruiters, Greenhouse, lever, SAP).

Edit and Delete

To edit an already created Template, go to the Templates tab and click Edit Template.

You can also now simply click the public link icon next to the template to instantly copy the link to your clipboard.

You always need to save so that the changes you've made will apply. Any issues or conflicts will be displayed after clicking save on the top of the page. If you have any issues please reach out to our Support.

Delete Templates

You can delete any template by clicking edit as explained above and scrolling to the bottom and click "DELETE".

Use cases:

Example 1: virtual vs on-site interviews

The interviewers are set on a case-by-case basis.

For all your on-site interviews you have the same event descriptions and location (address).

For all your virtual interviews you have the same event descriptions.

→ Set up a template with no host, pre-set the other details including the use of ATS placeholders to auto-fill event titles and descriptions with information such as the Job Title.

Example 2: engineering versus non-engineering interviews

The pools that conduct the interview are decided on a case by case basis based on the skill the job is for.

The event descriptions including instructions to join a live coding sessions are the same regardless of the skill the job is for.

The duration is the same regardless of the skill the job is for.

There is candidate and interview-specific information in the event titles and descriptions but the format is the same such as [job title] - [interview stage] - [candidate name].

→ Set up a template with no host, pre-set the event titles and descriptions with ATS placeholders and pre-set the duration.

What are the options for assigning hosts in a scheduling template?

You can choose to set:

  • No host (when you want the rest of the request details but add the correct interviewers/selection rules when you are creating the request)
  • No host + selection rule(s) (if there is a specific group you would like to add in addition to the interviewer you add when you create the request – e.g., pool of shadowers or meeting rooms)
  • An individual host (when this template is to create meetings for 1 specific person)
  • An individual host + selection rule(s) (when this template is to create meetings for 1 specific person + someone from a group such as an additional team member)
  • Selection rule(s) only (when this template is to create meetings for specific groups of people/meeting rooms)
Who can create and update scheduling templates?

The templates can be created and updated by anyone with the role of an Owner or Scheduler Admin.

Who can see and use the templates in the Scheduler?

The templates will show up for anyone that is using the Scheduler to create meeting links.

Can I edit a template before sending a request?

Yes you can edit anything in the template before sending it out. Then re-use this via ‘Start from recent request’.
