> Within a product team, the time and resource to initially build something is not the total cost - it actually only ends up being 10% of that. The rest is the ongoing resource to maintain, stay up to date, and continuously improve. That's why Cronofy felt like a very trusted partner for this piece of functionality.

Pinpoint is the ATS for multi-stream hiring. Built for organizations managing different types of hiring across brands, regions, teams, and workflows, Pinpoint gives talent teams the flexibility, control, and ease of use to run consistent, high-quality hiring at scale.

We speak to Pinpoint's Head of AI and Innovation, Dave Edwards. He is focused on a strategic shift: building not just for users, but for agents. To accomplish that, the team needed reliable, high-quality interview data to sit at the heart of Pinpoint as a system of record. Having already used Cronofy to power interview scheduling, capturing those interviews within the same infrastructure was the next natural step. What Pinpoint unlocked was clean, structured, timestamped interview data, owned inside their own product, ready to power their agentic layer.

## The problem:

# Rich interview data siloed from AI layer in a strict regulatory landscape

Pinpoint had a clear view on their AI strategy: to bring innovation without compromising on trust or security for their existing user base. “Being a UK business with a background of GDPR, strong regulation, and data privacy, we wanted to carefully look at where AI actually adds value,” Dave sets the scene.

“When it comes to top-of-funnel in recruiting, there’s a huge influx in application volume which gets exacerbated as more people auto-apply for jobs.” There was a growing need for quality signals to help recruiters better assess and screen these candidates.

### How does Pinpoint approach their AI product philosophy?

Duration: 02:09

The EU AI act coming into force later this year only bolsters the need for human decision-making, says Dave. “Any AI innovation we build within the product focuses on control and explainability of why those signals have been derived from all the data points we have about the applicant. It’s about putting humans more at the heart of this relationship.” Pinpoint’s product mission was to reduce the noise and let hiring teams focus on high-quality signals.

“We doubled down on looking at AI functionality strategically, as opposed to just siloed features. Right now, we're rebuilding our MCP that is going to be very action-oriented and tool-based, rather than just a wrapper around an API. We needed solid, first-party context within Pinpoint that we had control of.” Interview data was the obvious gap. Every hiring decision flows through a conversation, but that context was sitting outside the product, fragmented across conferencing platforms, personal notes, and third-party notetaker tools Pinpoint didn't control.

## The solution:

# Same integration, new capability: adding AI notetaking to existing infrastructure with minimal technical lift

The solution was to bring AI notetaking directly into Pinpoint as a native capability. That meant a decision: build it, or buy it. “This was an easy one,” explains Dave. If they were to build in-house, the engineering overhead looked significant. “Going with Cronofy felt like a no-brainer and the costs were very reasonable, especially when you look at the ongoing resource that we would’ve needed in terms of salary, headcount, or even if we just let an agent maintain this.”

Maintaining direct integrations with each video conferencing provider would have consumed resources far beyond the initial build. “We’re already seeing conferencing providers making changes around how they treat agents, and that looks like it’s going to continue. It’s just one more thing we would’ve had to maintain.”

As Dave puts it:

> Within a product team, the time and resource to initially build something is not the total cost - it actually only ends up being 10% of that. The rest is the ongoing resource to maintain, stay up to date, and continuously improve. That's why Cronofy felt like a very trusted partner for this piece of functionality.

### Why should you Build vs Buy Meeting Capture for your Product?

Pinpoint had already been powering their core scheduling features with Cronofy for years.

> Cronofy has simplified that layer of calendar connection in a very professional, trusted, and secure way. When you look at the edge cases, the risk of getting them wrong is a minefield, especially across different timezones, availabilities, and different buffers that people set.

For an ATS handling sensitive candidate data, the security and reliability bar for any infrastructure vendor is high. Pinpoint's view on Cronofy reflects that standard. “The relationship we’ve had with Cronofy has been long-standing and trusting. We’ve always admired Cronofy’s view on security and doing things the right way.” Cronofy guarantees a 99.99% uptime SLA with [compliance built in](https://www.cronofy.com/compliance-center).

### Why did Pinpoint choose Cronofy to power their AI notetaking?

Now, Pinpoint has extended their interview scheduling capabilities into the next part of Cronofy’s temporal infrastructure: capturing these meetings and deriving intelligence to power AI features without any added compliance burden.

> Cronofy sits in such a core, obvious place of scheduling interviews, whether it’s through Teams, Google Meet, or Zoom. It was a very minimal lift to bring in Meeting Agents alongside scheduling. Cronofy are already a subprocessor to us. We've got a great relationship. It just made sense to work with Cronofy as you're already naturally creating the interview.

### Why should you keep meeting scheduling and capture on the same infrastructure?

## The result:

# From scheduling to intelligence: how powering the full meeting lifecycle with Cronofy unlocks AI context for Pinpoint

Total implementation to bring in AI notetaking capabilities, including UI work and additional Pinpoint-side functionality, took approximately four weeks.

Cronofy processes and stores all meeting data on its own infrastructure, with no third-party subprocessors involved. Data retention is strictly scoped: audio is available for seven days for debugging, then removed. The recording, transcript, and summary are passed to Pinpoint for downstream use.

### How long did it take for Pinpoint to go live with AI notetaking from Cronofy?

Duration: 00:44

Pinpoint built AI-powered scorecards on top of the data they got back from Cronofy’s Meeting Agents. After an interview, the platform surfaces relevant sections of the transcript against each scorecard question, with timestamps so interviewers can verify context or review adjacent moments in the conversation. This is key for remaining factual, and it’s a non-negotiable stance for Pinpoint.

> In a hiring context, quality and transcript accuracy could ultimately shift the decision as to whether this candidate goes forward or not. Cronofy using Deepgram gave us the assurance that we were best-in-class by working with Cronofy when it came to transcript quality.

“Having clean data has allowed us to really aid the interviewer in the post-interview stage, so that they can have the confidence to focus on the conversation without needing to write notes or worry whether they’ve missed anything important.”

“The speed of processing was also key for us, because you don’t want anyone having to wait half an hour before they can see how the interview went.”

### Why is choosing a vendor that prioritizes quality of transcription so important?

The commercial impact is immediate. Pinpoint’s AI notetaker is a credit-based feature, creating a new revenue stream from customers, while also defending against notetaker competitors encroaching into the ATS space. The entire hiring workflow stays inside Pinpoint, and users no longer need to connect third-party tools to capture interviews.

### How does AI notetaking feed into Pinpoint's retention and revenue strategy?

Duration: 01:25

What Pinpoint gained was not just a note-taking feature. Beyond the immediate revenue and retention play, transcript data is now a cornerstone of Pinpoint's AI strategy. The team is building an internal agent layer, Copilot, that uses interview context to help hiring managers understand how conversations went, compare candidates, and find answers without leaving their workflow. The same data is feeding into better candidate rediscovery, surfacing silver medalists and past applicants against live roles. AI notetaking for interviews is just the beginning, with Pinpoint planning to extend to more internal use cases.

"Context is king," Dave says. "By having that within Pinpoint as the system of record, we can provide far better intelligence."

“That is what we ultimately have to keep looking at to ensure we’re competitive in the market, and help our clients hit their outcomes much easier.”

Pinpoint's agentic layer means the product is no longer bound by its own UI. Users can tap into Pinpoint's features and data from wherever they work, with agents acting on their behalf. Interview data sits at the core of that. By powering meetings end-to-end, Cronofy connects the foundational context layer that Pinpoint’s agentic strategy depends on. In a crowded ATS market, Pinpoint found exactly where their edge is, and they’re doubling down on it.
